Privacy notice

How Dublin Volleyball Club collects, uses and protects your personal information.

Who we are

Dublin Volleyball Club ("DVC", "we", "the club") is the data controller for the personal information described in this notice.

This notice covers the information we collect when you register as a player, contact us through the website, or pay club fees. It was last updated in August 2026.

What we collect, and why

When you register to play with the club we ask for:

Information Why we need it
Name, email address, phone number To identify you as a member and contact you about training, fixtures and fees
Date of birth To confirm you are old enough to register and to place you in the right age category
Gender (optional) To organise teams and competition entries
Emergency contact name and phone So we can reach someone quickly if you are injured at training or a match
Medical conditions and allergies So coaches and first aiders can respond safely in an emergency
Student ID photo (student rates only) To verify eligibility for the student membership rate
Membership and payment records To track what is owed and what has been paid

We do not take card or bank details through this website. Fees are paid directly to the club and recorded manually.

Our lawful basis

We rely on:

  • Contract — processing your membership, recording fees, and running the teams you play for.
  • Consent — storing your medical and emergency details, and sending you club updates. Information about your health is treated as a special category of data under Article 9 of the GDPR, and we only hold it because you have agreed to it.
  • Legitimate interests — keeping basic records of past membership so the club can meet its obligations to Volleyball Ireland and to its insurers.

You can withdraw consent at any time by emailing us. Withdrawing consent for medical details means we will delete them, but it may affect our ability to look after you safely at training.

Who else sees your information

We use a small number of service providers to run the club. Each one processes your information only on our instructions:

  • Baserow B.V. (Netherlands) — our player database, hosted in the EU.
  • Cloudflare — hosts this website and passes your registration to the database.
  • Resend — sends emails from the club, including fee reminders.
  • Google — during our current changeover we also keep a copy of registrations in a Google Sheet. We are retiring this copy, after which Google will no longer receive registration data.

We do not sell your information, and we do not share it with anyone else except where the law requires it, or where we must pass membership details to Volleyball Ireland to register you for competition.

How long we keep it

  • Student ID photos are deleted as soon as a committee member has verified your student status. We keep the fact that you were verified, not the image.
  • Medical and emergency contact details are kept while you are an active member and deleted when you leave.
  • Membership and fee records are kept for seven years after your last season, so the club can meet its accounting obligations.
  • Contact form messages are kept only as long as needed to answer you.

Your rights

You have the right to ask us to:

  • give you a copy of the information we hold about you;
  • correct anything that is wrong;
  • delete your information, where we no longer need it;
  • restrict or object to how we use it;
  • withdraw your consent at any time.

Email dvcsec@gmail.com and we will respond within one month. If you are not happy with our response you can complain to the Irish Data Protection Commission at dataprotection.ie.

Players under 16

You must be 16 or over to register through this website. If you are under 16 and want to play with the club, please get in touch so we can arrange registration with a parent or guardian.

Keeping it safe

Access to your details is limited to the committee members who need it. Medical notes and student ID photos are held separately from the main membership list and can be opened only by the club welfare officer and one nominated backup.

If something goes wrong and your information is put at risk, we will tell you and the Data Protection Commission as required by law.
